Privacy Policy
1. Information you provide
Depending on your role and the features you use, we collect account and contact details, date of birth, parent or guardian information, school or club information, volleyball positions and measurements, academic and recruiting information, photos, film links, schedules, and optional profile details. Recruiters provide role, program and verification information. We also receive connection decisions, saved recruiting information, reports, evidence and support communications. Provide only information relevant to the feature; do not place sensitive contact details in public profile fields.
When a high school coach invites players, we receive the coach’s name, school and email, and each player’s name, email and class year. We use them only to send those invitations.
2. Information generated by use
We record account status, verification and moderation decisions, connection and notification activity, and relevant profile-view events. Authentication and infrastructure providers process technical information needed to deliver and secure the service, such as IP addresses, timestamps and request or error data. The app uses browser storage for sessions, preferences, drafts and pending uploads where applicable. Sign out and clear local data when using a shared device.
3. Why we use information
We use this information to create and manage accounts, display recruiting profiles under the visibility rules, verify roles, process connections and notices, provide support, investigate reports, enforce our rules, prevent abuse, and meet legal obligations. We also use operational information to diagnose failures and improve reliability. We do not need an unrestricted license to reuse a minor's data for unrelated purposes to provide these services.
4. Public share links
A live approved athlete share link can be viewed without signing in. It can show the athlete’s full name, photo, position, graduation year, broad region, team label, volleyball discipline, high-school sport, height, vertical jump and standing reach, plus featured film/title and eligible social-platform indicators. The response also includes a profile identifier, public handle, verification status and photo display settings. The dedicated club field is blanked. The team label may be shortened by removing the stored club name and its words of four or more characters. A short abbreviation on its own can remain, an unstored club name is not detected, and a shared word such as Elite can be removed even when used as a division label. Social indicators identify platforms, not account URLs; entitlement rules may omit them. Public sharing does not expose protected contact fields through that share endpoint. Anyone who obtains the link may forward it. Search engines are instructed not to index athlete pages, but we cannot guarantee crawler compliance or prevent screenshots and external copies.
5. Signed-in users and contact access
Access within the platform depends on role, verification, account status, moderation, visibility choices and the relevant relationship. A qualifying recruiter receives protected contact details only after the required connection approval. Revocation changes future access through the platform; it cannot recall information already retained independently by another person. Blocking restricts the authenticated interactions covered by the feature and does not make a public share link inaccessible to every anonymous viewer.
6. Parents and minors
Athlete accounts are intended for ages 13 through 21. We use parent or guardian details for relevant notices and support involving a minor, including applicable registration, connection acceptance and revocation events. These notices are not advertising permission and do not by themselves prove verified parental consent where law requires it. A parent can contact support to ask about a child's account, correct contact information or raise a concern. We verify authority before disclosing private information or acting on a request. If we learn of an ineligible under-13 account, we take appropriate steps to restrict it and address the information held, subject to legal requirements.
7. Providers and disclosures
We use Supabase for authentication, database and file storage, Cloudflare and our web hosting provider to serve pages, and Resend for email. Providers receive information needed for their services under the applicable arrangements. External film players, image endpoints and linked sites may process technical information when loaded; their own policies apply. The final provider inventory must be checked against the deployed site. We may disclose necessary information to respond to lawful process, protect users, address abuse or complete a lawful business transfer subject to continuing privacy obligations. Administrative access is limited to legitimate operating, support, moderation and legal purposes.
8. Sale and advertising
We do not sell personal information or run targeted advertising inside VolleyEngine. We do not authorize recruiters to resell athlete information. If a proposed feature would change these practices, we will assess the legal requirements and provide the notice and choice required before making that change.
9. Retention and deletion
We keep account information while it is needed to provide the service and address the purposes stated here. An account-deletion request hides the profile under the platform's deletion rules. Following review, the normal cancellation window is 14 days from approval. Erasure then removes eligible account data and owned files through a process that can retry failures. When an account is erased, evidence needed for its open or reviewing abuse reports is retained with restricted access. Closing those reports queues eligible evidence for deletion unless a documented preservation hold applies. Closing a report does not by itself delete the related account. Limited records may remain where required for legal compliance, prevention of abuse or proof of completed handling. Backup copies expire under the approved backup retention schedule and are not used as active profiles. The final schedule for logs, evidence and backups must be documented before this policy is published.
10. Your requests
You can edit available profile fields and visibility settings, revoke eligible connections and request deletion through the app. The Download button in your settings gives you a copy of your profile record. You may also email support@volleyengine.com to request access, correction, deletion or other rights available under applicable law. We may need proportionate verification and will explain a refusal or limitation. Where an appeal right applies, reply requesting an appeal and we will provide the applicable process and response. Authorized representatives and parents must demonstrate authority. We will not retaliate for exercising legally protected privacy rights.
11. Security and location
We use role and access restrictions and other reasonable safeguards, but no service can promise absolute security. Information may be processed in the United States and other locations used by the approved providers; the final notice must reflect the actual hosting and processing arrangements. Do not upload data you are not entitled to provide. Contact support promptly about suspected unauthorized access.
12. Changes
We will publish the effective date of a revised policy and provide appropriate notice of material changes. This policy describes data practices; it is not a waiver of privacy rights or blanket consent to every future use of information.
